How we collect, use and protect personal data when you contact us or take part in a conference we organise.

Data controller

Van Hauen Conferences ApS, Amaliegade 36, 1256 København K, Denmark. CVR 40321543. Email vanhauen@vanhauen.dk, phone +45 2144 4388.

What we collect

When you contact us through the form on this website or by email, we receive the information you give us, typically your name, organisation, email, phone number and your message.

When you register for a conference we organise, we process the information needed to run the conference: name, title, workplace, contact details, participant category, dietary requirements, hotel booking and payment information. Card payments are processed by our payment provider; we do not store card numbers.

Why we use it

  • To answer your enquiry and prepare offers (legitimate interest).
  • To register you for a conference, issue invoices and send practical information (contract).
  • To comply with bookkeeping rules (legal obligation).
  • To send newsletters about a conference, if you have agreed to it (consent). You can unsubscribe at any time.

Who we share it with

We only share data when it is needed for the conference, for example with the venue, hotels, the organising committee, payment and invoicing providers and the provider hosting the conference website. We never sell personal data.

How long we keep it

Enquiries are deleted when they are no longer relevant, normally after two years. Registration data is kept as long as needed for the conference and its follow-up. Accounting records are kept for five years as required by Danish law.

Cookies

This website does not use cookies for tracking or marketing. Fonts are loaded from Google Fonts, which means your IP address is sent to Google when the page loads.

Your rights

You have the right to access, correct and delete your data, to restrict or object to processing and to receive your data in a portable format. Contact us at vanhauen@vanhauen.dk. You can also complain to the Danish Data Protection Agency, Datatilsynet, at datatilsynet.dk.
